The 5-Click Sales Workflow

My favorite AI use case for sales

Read Time = 3 minutes

Your time is too expensive to waste.

Most leaders lose 15 hours a week to the wrong tasks. The Delegation Guide and Worksheet helps you take them back. BELAY makes it possible with remote staffing solutions — U.S.-based, flexible, and personally matched to fit your business.

You know that feeling at the end of the day.

Back-to-back calls.

No lunch.

Barely enough time to take a shit.

You finally close your laptop and realize...

You still need to write follow-ups, update the CRM and somehow remember what each prospect said.

Yeah, you could’ve taken notes during calls.

But then you’re half-listening, half-typing, and missing the small moments that matter in discovery.

This is where my favorite AI use case in sales comes in -

Stupid simple and saves you from end-of-day admin hell.

Let’s dive in.

Imagine….

A world where this entire workflow happens in five clicks:
(I know you hack this using AI today — stay with me)

  1. Have the call

  2. AI processes the recording

  3. Summary and transcript created

  4. Follow-up drafted automatically

  5. Notes synced straight into your CRM

Now open your eyes… most people are living in this world yet.

So here’s the next best thing.

The Post-Call Playbook:

  1. Record everything. Use Fathom, Fireflies, or Gong to capture calls

  2. Summarize. Drop the transcript into ChatGPT — extract key takeaways

**Account:** *

*Contact:**

**Title:**

**Date of Call:**

Summary: [Brief 1–2 sentence recap of call outcome and main direction.]

Current State / Situation: [What their setup looks like today, key pain points, what triggered this conversation.]

Goals / Desired Outcomes: [What they want to achieve or fix.]

Buying Signals / Priorities: [Timeline, urgency, budget, or interest level.]

Decision Process / Stakeholders: [Who’s involved in the decision, approval process, or next steps in evaluation.]

Next Steps / Action Items: [Your commitments + their commitments with dates if mentioned.]

Additional Notes: [Personality cues, rapport insights, or anything useful for future follow-ups.]

This is a simple prompt for analyzing calls. I use Claude projects for each opportunity.
  1. Follow up. Turn that summary into a personalized follow-up email

  1. Sync. Paste notes (or use Zapier etc.) to feed notes into CRM

The Bottom Line:

Sales used to reward the hardest worker.

Now, it rewards the smartest system.

If you’ve already automated this, sell it.

If you haven’t, start building it.

Until next Thursday,

TSG

P.S. I’m dropping my 2026 Outbound Playbook with 15 of my favorite plans for building pipeline later in early November, keep an eye out.

As always, I reply to all emails.
